Job Description:
- Issuing and tracking purchase orders coordination with various stakeholders for candidate selection of 3rd parties’ contractor.
- Coordinate timesheet and expenses verification for contract manpower, tracking spends SAP P16
- Responsible to perform general SAP services which include creation and monitoring of WO, PR, PO, and SE to ensure timely settlement of invoices.
- Back up for main project business administrative support person.
- Organize and manage events (meetings, townhall, workshops)
- Sarawak work permit application administrative work
- HSSE administration work including HSSE passport issuance.
- External and internal correspondences – to various site office & external stakeholder (hardcopy letter, bank guarantee etc) Support C&P administration e.g., contract stamping, bank guarantee collation for safekeeping.
- General administrative support which includes preparation of presentation materials, complex or large scanning and printing, organize workshop and training materials.
- Focal point for compiling monthly or weekly reports. Responsible for the timely compilation of the report.
- Focal point for Team’s Weekly/Monthly Meetings. Responsible to organize team’s weekly/monthly meetings which include booking of calendar, book venue and arrange refreshments.
- Responsible for on-boarding and Off-boarding of staff
- Responsible for document management (includes administer group-specific files in certain cases, send older files to off-site storage, etc.) Format and perform quality check for Client Reports, arrange escalation for complex-formatting requirement. Distribute and e-file copies. Provide documentation support for departmental Quality System
Competencies & Skills
- Proficient in both English & Malay
- Computer literate – Proficiency in MS Office (MS Excel, MS PowerPoint, in particular)
- Knowledgeable with Power Platforms – Power App, Power BI, etc
- Knowledgeable of office management systems and procedures e.g., printer and computer
- Excellent time management skills and ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with ability to multi-task
Qualifications
Minimum Sijil Pelajaran Malaysia (SPM)
Working Experience
- Experience in SAP P16 modules
- Experience with SharePoint, e-travel system and Concur systems.
- Minimum 1-2 years in related field
