Job Purpose:
The Operations Executive is responsible for supporting the daily operations of the Trading Department by ensuring efficient receiving, storage, packing, delivery, procurement support, and inventory management. The role also assists in supplier sourcing, logistics coordination, and administrative functions to ensure timely and accurate fulfillment of customer orders.
This position is designed as a development role where the employee will gradually gain knowledge in procurement, competitive sourcing, supply chain operations, and commercial trading activities.
Key Responsibilities:
Warehouse & Inventory Operations
- Receive, inspect and verify incoming goods against Purchase Orders and Delivery Orders.
- Organize, label and store inventory systematically.
- Maintain inventory records and support regular stock counts.
- Ensure warehouse cleanliness, organization and safety.
- Report inventory discrepancies, damages or shortages promptly.
Packing, Logistics & Delivery
- Pick, pack and prepare customer orders accurately.
- Coordinate deliveries and logistics arrangements.
- Deliver products to customers when required.
- Obtain customer acknowledgement for delivered goods.
- Assist in loading and unloading of materials.
Procurement & Trading Support
- Support the procurement team in obtaining supplier quotations.
- Assist in comparing prices, specifications, lead times and commercial terms.
- Follow up with suppliers on quotations, deliveries and documentation.
- Maintain supplier records and procurement documentation.
- Develop knowledge of sourcing strategies and procurement processes.
Administrative Support
- Maintain accurate operational documentation and filing.
- Update inventory and stock movement records.
- Assist in preparing Delivery Orders, Purchase Orders and supporting documents.
- Support ISO documentation and operational reporting requirements.
General Operational Support
- Assist the Trading Department in day-to-day operational activities.
- Support urgent customer requirements and project deliveries.
- Coordinate with Procurement, Logistics, Finance and Sales departments to ensure smooth workflow.
- Participate in stock takes, warehouse improvements and operational projects.
Minimum Education Preferred
- Diploma or Degree in any discipline.
- Valid Malaysian Class D driving licence preferred.
